Privacy policy

The short version: we collect what the product needs to log your trips and bill you, we don't sell it, there are no advertising trackers, and you can delete everything yourself.

The website and waitlist

If you join the waitlist we store your email address, the car brand you chose, where you heard about us, and your answer to the "what do you use today" question, in Resend, the email service we use. We email you to confirm your address, when your car is supported, and when the app launches. Every email has an unsubscribe link, and unsubscribing removes you from all of them. The site uses Cloudflare Web Analytics, which counts visits without cookies or identifying visitors.

The app

Account. Your email address, used to sign you in with a one-time code. No password is stored.

Vehicle data. When you connect a car, you authorise Smartcar to share data from your manufacturer account with Wheelclerk: vehicle make, model, year and VIN, odometer readings, location reports, and battery or fuel level. Smartcar's own privacy policy covers its handling of that connection. We use this data to build your trip log and for nothing else. The app never requests your phone's location.

Your tags and places. The business/personal tags, purposes, named places and odometer marks you enter.

Subscription. Purchases go through Apple. We receive the subscription status and an anonymous identifier from Apple and our subscription provider, RevenueCat; we never see your payment details.

Diagnostics. If the app crashes we may receive a crash report with device model and OS version. No analytics or advertising SDKs are included.

How long we keep it

Raw vehicle reports are kept for 90 days, long enough to derive and correct trips, then deleted. Derived trips, your tags, places and odometer marks are kept while your account exists, because a mileage log is only useful if it covers prior tax years. Deleting your account in the app removes all of it within 30 days; the email address is released at the same time.

Who else sees it

Only the services that run the product: Smartcar (vehicle connection), Railway (hosting, United States), Resend (email), Apple and RevenueCat (subscriptions), and Cloudflare (website and DNS). Each receives only what it needs for its job. We do not sell personal data and we do not share it for advertising. We will disclose data if the law requires it.

Your choices

Disconnect your car at any time in the app or in your manufacturer account; export your trips as CSV whenever you like; delete your account from Settings. Email us to ask what we hold about you or to have it corrected or deleted if you can't use the app.

Children

Wheelclerk is for business use by adults. We do not knowingly collect data from anyone under 18.

Changes

If this policy changes in a way that matters, we'll email account holders before it takes effect and note the date at the top of this page.
